Stock Management * Ensure all stock and stock management systems are managed and maintained accurately, within the agreed parameters and in a timely manner. This includes accurately processing deliveries, claims, returns, transfers, special movements, damaged items, stolen items and loan items using correct systems and following the policies and procedures. Ensure Store Manager's approval is obtained where required. * Ensure that the stock position is accurate at all times through regular cycle counts and daily negative stock corrections. * Plan, coordinate and complete all necessary cycle counts. * Maintain ongoing and proactive communication with key partners about new arrivals, order overages and shortages and delivery delays. * Accurate tracking and documentations. * Help decrease store shrinkage by researching inventory discrepancies and reporting suspicious activities to the store management. * Maintain and manage the stockroom and the clear allocation of space for stock and non-stock. * Maintain a process for returns. Manage a defined area in the stockroom for returns. This area will include out of dates, damaged and un-saleable goods. * Ensure that stock areas are kept safe, clean and tidy at all times. * Ensure all goods are security tagged, ticketed, handled and stored with due care. * Ensure that ticketing is accurate and regularly checked (through deliveries and cycle counts). * Support the sales team by providing information on stock availability, deliveries and transfers. * Regularly review current stock situation in order to: * maximise sales potential * propose stock offers to other stores * deal with slow-moving and/or damaged stock * Communicate all stock and quality issues with the Store Manager. * Manage the yearly price change exercise, working together with the store management and metier ambassadors. Minimise the potential financial loss due to inaccurate ticketing. 2. Reporting * Ensure timely and accurate completion of any necessary administration, adhering to set procedures and policies as appropriate. * Work closely with the Retail Operations Manager at Head Office to assist in improving the stock management system and the store stock management processes by providing regular feedback. * Follow up on negative stock on a daily basis, correcting where possible. Report the findings to the store management. * Work closely with the Internal Control Manager at Head Office for the planning and organisation of cycle counts and annual stocktake, as well as communicating the findings and devising action plans. 3. Customer Service and Communication * Ensure that all clients requests and after sales service issues are followed up and communicated to the Sales and Service Support in a timely manner, consistent with Hermès standards and values. * Develop and maintain, good and constant communication with your Store Manager * Establish and maintain strong relationships within your own store environment and within Hermès as a whole by providing high level support service at all times, including prompt response to requests. 4. Management * Lead a team of stock controllers and give clear direction and objectives. * Provide regular feedback and devise, monitor and follow-up any action plan. * Set up operational standards. 5. Merchandise * Maintain and develop an in-depth product knowledge of all departments. * Ensure merchandise is handled with care and consideration. * Develop knowledge of after sales processes to best support the Sales and Service Leaders and Assistants * Be pro-active in familiarising yourself with Hermes merchandise and packaging through product training, buying books, Podium catalogues, and Monde d'Hermes. 6. Training * Successfully participate and complete in any training provided. * Participate in training others, at the request of the Store Manager, on best practise of stock control and till procedures which affect the accuracy of the Cegid sales and stock data 7. Personal Appearance and Conduct * Arrive in good time each day, to accommodate deliveries as well as spot checks when required * Adhere at all times to the dress code, grooming and conduct guidelines as specified in the Hermès Staff Handbook. * Maintain a professional approach and demeanour in keeping with Hermès standards * Work effectively and efficiently within the team, sharing ideas and contributing to a positive morale * Respect your team and the customer by being articulate, immaculate, and punctual at all times * Ensure absolute confidentiality of the Company's commercial activities and internal affairs at all times 8. Health and Safety and Security * Ensure all aisles and fire routes are kept clear and free of stock at all ties. Report any build-up of rubbish or blockages to a member of store management immediately. * Ensure the stockrooms meet the Occupational Health and Safety regulations and any recommendation following an audit. * Ensure that all equipment (trolleys, ladders etc.) are operating efficiently and that any defect or problem that may affect the day-to-day running of the stockrooms are advised to the store management. * Ensure all computers and lights are switched off at the end of the working day and that the stockrooms are ready for the following day's activity. * Follow all security procedures to ensure a high level of security is maintained at all times; all stockroom doors are kept closed and no unauthorised persons allowed into the stockrooms unaccompanied. Competencies * Excellent communication skills * Good IT Skills: CEGID, Microsoft Office, Windows, EPOS system, Lotus Notes, Microsoft Office, etc * Good team player with capacity to work autonomously * Professional with ability to work efficiently and accurately under pressure * Organised, flexible and reliable with high levels of efficiency and engagement * A solid understanding of inventory related best practice * Experience in coordinating inventory related projects * Ability to manage multiple tasks through effective prioritisation and thorough communication * Strong organisational, analytical, self-management and goal-setting skills * Effective leadership skills * A mind to innovation and change * Flexibility and willingness to work late nights, early mornings, weekends and holidays, when needed ** Job responsibilities and functions are not limited to the above.
